Administration Manager
The Natomas Basin Conservancy

The successful candidate will assist the Conservancy’s Executive Director:
1.) manage the organization’s contracts with vendors and contractors,
2.) comply with the reporting requirements of the Natomas Basin Habitat Conservation Plan, Implimentation Agreement and Land Management Plans,
3.) archive and provide for the reliable and convenient retrieval of corporate records, and
4.) conduct certain risk management activities.
Duties are more extensively described below.
The position reports to the Conservancy’s Executive Director.
Duties and Responsibilities:
“¢ Assist Executive Director and Corporate Legal Counsel with the development of contracts.
“¢ Track and manage contracts and see that contractors engaged in performing work on behalf of the Conservancy (e.g., farming, biological monitoring, construction, habitat design, habitat management, vegetation management, fencing, grazing, utilities and related repair, auditors, etc.) comply with terms of contracts.
“¢ Review invoices from contractors to insure compatibility with contract, recommend approval to Executive Director.
“¢ Manage Conservancy’s right of entry agreements, making certain indemnifications, additional insured provisions and related issues are adequately addressed.
“¢ Track Natomas Basin Habitat Conservation Plan (NBHCP) and Implimentation Agreement (IA) to see that deadlines, reporting and other responsibilities of the Conservancy are calendared, addressed and completed.
“¢ Work with Executive Director to see that Implementation Annual Report is completed, and done so on time and that it addresses all compliance issues contained in the NBHCP and IA.
“¢ Insure that a thorough and complete Administrative Record is maintained, and that all required reports and relevant documents are adequately inventoried and easily retrievable.
“¢ Make certain that archives of corporate documents and back-ups are maintained in a safe manner.
“¢ Track Conservancy insurance coverage, making certain that policies do not lapse, that new real property and other assets of the Conservancy are added to policies and adequately covered. This includes establishing and maintaining a relationship with insurance brokers, and if necessary, insurance carriers.
“¢ Maintain corporate legal records and other corporate documents, including articles of incorporation, minutes, tax exemption letters and related.
“¢ Make certain that all annual tax returns to state and federal tax authorities (e.g. Form 990) are completed by accountants and filed in a timely manner.
“¢ Manage Conservancy safety programs.
“¢ Administer compliance of Brown Act and Open Records Act as appropriate (this is not to replace legal advice).
“¢ Manage annual notice, distribution and filing of FPPC Form 700 Conflict of Interest forms.
“¢ Manage distribution of meeting notices and record meeting notice activity in Administative Record.
“¢ Work with the Executive Director in the preparation of monthly Board of Directors agenda packets.
“¢ Cross-train with Executive Assistant to perform those duties when necessary.
“¢ Perform other duties as assigned by Executive Director.
